Administrative Assistant with a passion to provide service to a passionate team

Key Responsibilities

  • Responsible for a smooth office management service, pro-actively supporting and engaging in keeping our office to be the greatest workplace!
  • Finance support, mainly but not limited to manage purchase orders, release invoices, monthly closure and goods received
  • Supporting the budget process in close collaboration with our Finance team
  • Manage external reception, incoming emails and clarify/highlight required actions and responses
  • Plan and coordinate activities such as Nordic team-meetings and other occasions
  • Support planning of congresses in close collaboration with our Medical team
  • Provide operational support to the local onboarding process in close collaboration with IT and local HR Manager
  • Support and maintain the SOP database, including training sessions
  • Local IT contact person in collaboration with our local IT service
  • Provide general GM support as well as back office support for the Nordic team
  • Develop and redefining administrative procedures using technology to streamline processes
  • Submissions to ENLI/LIF and TOV (transfer of value) reporting
  • Uploading and tracking of contracts in close collaboration with Legal & Compliance Manager

Qualifications and personal skills

  • Educational background from Administration / Business or equivalent
  • Experience working in an international environment (preferable within the pharmaceutical industry)
  • Passionate to provide service of high quality to a passionate team
  • Have a good understanding and experience from working with financial processes
  • Have an eye for both details and quality
  • Ability to prioritize and keep track of the different tasks with a business-oriented solution approach
  • Ability to work successfully in multi-cultural teams
  • Team player and strong communicator with a collaborative work style
  • Ability to build strong relationships with key stakeholders
  • Business fluent in Danish and English (verbal and written)
  • Experienced in Microsoft Office and SAP
